Submission Instructions
We offer two different options for authors to submit their research to the conference: a short abstract OR a full paper. Please note the following conditions:
- At least one of the authors of each accepted abstract or full paper must register and attend the conference
- Each registered author may present a maximum of two submissions, i.e. abstracts or full papers
- Only minor changes to an abstract or full paper will be possible after acceptance
- "No shows" or non-payment of the registration fee will result in removal of abstract(s) and prohibit inclusion of full paper(s) in the published conference proceedings
Option 1: Short Abstract
A single page (maximum 500 words) abstract that:
- Must present research that is related to the conference themes
- Is written in clear and concise English with correct spelling and good sentence structure
- Can include typed simple mathematical symbols and equations
- Does not contain any figures or tables
- Contains enough information for our Panel of Reviewers to judge the quality and originality of the work in a limited acceptance/rejection review process
Accepted abstracts will be made available to registered delegates but will not be published in conference proceedings after the event.
Abstracts can be submitted with either a preference for an oral presentation or poster during the submission process but the final decision will be made by the Panel of Reviewers.
Option 2: Full Paper
An original research paper that:
- Must present original research that is related to the conference themes and that has not been published elsewhere
- Is a minimum of four (4) to a maximum of six (6) A4 pages in length, including all figures, tables, and references
- Is written in clear and concise English with correct spelling and good sentence structure
- Is formatted using the IEEE template for conference proceedings (Microsoft Word A4 or LaTeX)
- Contains enough information for our Panel of Reviewers to judge the quality and originality of the work in a limited acceptance/rejection review process
Accepted full papers that comply with IEEE Publishing Policy will be published in the conference proceedings on IEEE Xplore unless otherwise requested by the author.
Full papers can be submitted with either a preference for an oral presentation or poster during the submission process but the final decision will be made by the Panel of Reviewers.

When you are ready please submit your abstract or full paper using our submission system.
Best Student Paper Award
There will be an award for the best student paper at the conference. To be considered for the award the work presented in the paper must have been mainly carried out by the student, and the student must present the paper at the conference. All accepted papers that have been marked as a student submission (part of the the submission process) will be considered for short-listing for the award.
Eleven student full papers have been scheduled across two dedicated sessions at the conference. A committee of GPR experts will judge the submissions and select a winner, who will be presented with a prize at the conference dinner.
A separate prize will also be awarded for the best poster presented by a student, recognising those who submitted a full paper but chose to present their work in poster format. The poster prize winner will likewise be announced and presented with their award at the conference dinner.
Information for oral presentations
If your paper has been accepted for oral presentation, please adhere to the following instructions:
- Your presentation should last no longer than 12 minutes. A 15-minute slot has been allocated for each paper to allow approximately 3 minutes for questions and discussion. Session chairs will rigorously enforce this schedule.
- Please prepare your slides in either Microsoft PowerPoint (.ppt or .pptx) or PDF format. A 16:9 aspect ratio is preferred.
- Please bring your presentation on a USB memory stick and ensure it has been uploaded to the conference system no later than 15 minutes before your session begins. A member of the organising team will be available to upload your file at the Registration Desk or in the presentation rooms — coffee and lunch breaks are ideal opportunities to do this.
- We strongly encourage presenters to use the room's podium PC rather than their own laptop, to minimise delays between talks.
- Please arrive at your presentation room 15 minutes before the session starts and introduce yourself to the session chairs.
Information for poster presentations
If your paper has been accepted for poster presentation, please adhere to the following instructions:
- Your poster should present your work concisely and attractively to engage delegates and generate discussion.
- Posters must be A0 portrait orientation (841 mm wide × 1189 mm tall). Please do not construct your poster from multiple A4 or A3 sheets.
- Please mount your poster on the board numbered to match your paper ID. Double-sided tape or hook-and-loop fixings will be provided.
- You must be present beside your poster throughout your allocated poster session to present and discuss your work with delegates.
- We recommend mounting your poster at the start of the conference and leaving it displayed for its duration.
- Authors with an accepted poster are invited to upload their poster to the online poster gallery, accessible to all registered delegates through the conference platform. The gallery extends the reach of your work beyond the conference itself, allowing delegates to browse, search, and download posters at any time during the event — complementing your physical poster presentation. Posters must be submitted as a single-page PDF with a maximum file size of 20 MB. If this option was not available at the time of your original submission, you may need to log back in to the submission system and add your poster file to your existing submission.
